Terms of Use and Privacy Notice

These terms govern access to Blend Files, the service operated by Blend Travel Marketing (“Blend”) at files.blendimc.com, through which Blend publishes documents — including reports, PDFs, and other deliverables — as links rather than attachments. By requesting a sign-in code, signing in, or opening a document, you agree to this notice.

Effective 3 September 2026.

The service

Blend Files is a Blend-hosted library of work Blend has produced for you or your organization. Documents are organized into client folders. Some client folders offer an index of what you may open; others are reached only by a direct link. Recipients view documents. They do not upload, comment on, or otherwise alter them.

Access is granted by Blend. A document may be limited to named addresses, to one or more email domains, or published at a public address for a limited time. A public link presently remains reachable for ninety days, after which a public link expires. The document itself is retained. Blend personnel may also copy and send a link; that act is recorded so that a document never sent is not mistaken for one sent and unread.

Sign-in

Where a document requires sign-in, you sign in with a work email to which the document was made available. Blend sends a one-time code to that address. There is no password and no account for you to create. A completed sign-in establishes a session on this device, limited to that client folder, for seven days. We use a security check by Cloudflare when a code is requested.

A code is sent only when the address is permitted to open the document. Requests that do not match are treated the same as those that do, so that the service does not disclose whether an address is recognized.

Information we collect

When you request a sign-in code, we store the email address you entered and a record that a code was requested or sent. After you sign in and open a document, Blend records that you opened it — which document, when, and an approximate indication of device type and country of origin. Opening a public document without signing in is recorded as an opening of that document, not as an identified person.

We do not measure how far you scrolled or how long you remained. We do not embed a tracking script in the document. Engagement of that kind is not collected.

The documents themselves, access rules, and related administrative records are held so that Blend can publish, restrict, and retrieve the work. Blend personnel access the service through Blend’s internal identity provider.

Why we collect it

So that only permitted recipients can open a document that requires sign-in; so that Blend staff can see whether a document was opened; and so that Blend can operate, secure, and administer the service. Records of who opened what are for Blend’s internal use in the account relationship. They are not shown to clients as analytics.

How long we keep it

We intend to retain identifiable records of document openings for 24 months. Automated deletion of aged records is not yet in operation; such records may be retained until that process is in place, or until they are deleted at your request. Sign-in sessions lapse after seven days. A public link expires after the public period described above.

Who we share it with

Blend staff may see the records described in this notice. We rely on service providers to host the service, deliver sign-in messages, and prevent automated abuse. Those providers presently include Cloudflare and, where used, an email-delivery standby. Blend personnel authenticate through Google Workspace. We do not sell this information.

Your rights

You may ask Blend for a copy of the records we hold in connection with your email address, or to delete them. Write to your Blend contact or to support@blendimc.com. Staff will fulfill the request from the service’s administrative records.

Acceptable use

You may use Blend Files only to view documents made available to you. You may not attempt to gain access you have not been granted, interfere with the service, or use it for any purpose other than receiving Blend’s work. Documents remain Blend’s or the applicable owner’s material and are provided in connection with Blend’s engagement with you or your organization.

Changes

Blend may update this notice as the service changes. The current version is the one published at this address. Continued use after a change constitutes acceptance of the updated notice.
